About the role#
As a Special Events Intern, you will help plan and execute Auto Show Week, a major series of events for employees, partners, and automotive enthusiasts. You will move beyond simple task lists to participate in the full planning cycle, from initial creative brainstorms to final event-day execution. You will be encouraged to share your opinions and take ownership of specific projects.
What you'll do#
- Participate in creative brainstorms to develop themes, activities, and guest experiences.
- Research ideas for event décor, prizes, giveaways, employee gifts, and interactive activations.
- Select food and beverage options and provide input on event menus.
- Develop creative signage, displays, event materials, and communications.
- Lead assigned projects from initial concept through to execution.
- Participate in strategy meetings and document key decisions.
- Research and secure vendors, acting as their primary point of contact to manage timelines and deliverables.
- Collaborate with internal departments including Marketing, Merchandising, Fulfillment, Customer Service, IT, Web Development, and Finance.
- Create operational plans and maintain project checklists to track deadlines.
- Support employee registration, travel coordination, and internal communications.
- Lead setup efforts for Auto Show Week and provide hands-on support during events.
- Manage post-event inventory, budget reconciliation, and expense reimbursements.
What you'll need#
- Interest in event planning, marketing, hospitality, or communications.
- Creative thinking and the comfort to share ideas and opinions.
- Strong organization, communication, and interpersonal skills.
- Ability to manage multiple priorities and remain calm when challenges arise.
- Willingness to take ownership of projects and follow through on tasks.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to lift up to 30 pounds.
- Reliable transportation to Paoli, Pennsylvania and to event locations.
- Previous experience in event planning, hospitality, marketing, or project coordination is preferred, as is the completion of one prior internship.
Location & details#
- Term: Winter 2027 and Spring 2027 (January 11, 2027 to May 28, 2027).
- Modality: Hybrid. Work is primarily remote with required in-office days in Paoli, Pennsylvania for planning and meetings.
- On-site requirements: You must be available in person for setup days and the full Auto Show Week (April 29 to May 2, 2027), including travel to Mohnton, Pennsylvania for venue walkthroughs and event support.
- Status: This is a paid, full-time internship. Sponsorship is not available.
