About the role#
The Student Auxiliary Services (SAS) Executive Assistant provides administrative, operational, and financial support to the Associate Vice President and divisional leadership. This role acts as a primary liaison between the office and university departments, external partners, and other stakeholders. You will manage daily operations, track project deliverables, and ensure the office runs effectively while maintaining high standards of professionalism.
What you'll do#
- Manage and prioritize the Associate Vice President's calendar and anticipate operational needs.
- Serve as a gatekeeper for requests and ensure timely follow-up on action items.
- Process financial transactions including invoices, purchase requests, and budget transfers.
- Assist with budget tracking, expenditure monitoring, and financial reporting.
- Coordinate leadership meetings, advisory boards, and workgroups by preparing agendas and minutes.
- Handle confidential personnel, financial, and student information while following FERPA and university policies.
- Plan and coordinate executive events, retreats, and recognition programs.
- Develop and improve office procedures to increase efficiency.
- Conduct research and compile briefing materials for executive decision-making.
What you'll need#
- A Bachelor's degree in Business Administration, Accounting, Communications, or a related field, or an equivalent combination of education and experience.
- Three to five years of progressively responsible administrative support experience, ideally supporting senior leadership.
- Proficiency with Microsoft Office Suite and electronic calendaring systems.
- Strong organizational, analytical, and problem-solving skills.
- Ability to handle sensitive information with discretion and sound judgment.
- Excellent verbal and written communication skills for preparing reports and correspondence.
- Experience with university financial, procurement, or human resources processes is preferred.
- Ability to work independently, manage multiple priorities, and meet deadlines.
