About the role#
As a Private Wealth Administrative Assistant, you will provide essential office support and clerical services to business groups. You will work under supervision to complete standardized tasks, resolve routine problems, and collaborate with internal and external stakeholders to support business objectives. This is a full-time, paid internship for the Winter 2027 term.
What you'll do#
- Compile, copy, sort, and file records while maintaining an organized filing system.
- Create and maintain database information.
- Process department budget and capital expenditure invoices, including resolving discrepancies.
- Prepare funding approval requests for department projects.
- Manage office supplies inventory and place orders.
- Coordinate work orders for equipment maintenance and repairs.
- Schedule meetings, manage room setups, and coordinate AV equipment and catering.
- Book travel arrangements and prepare management itineraries.
- Answer central phone lines and resolve or escalate inquiries.
- Write, edit, and distribute communication materials like presentations, reports, and agendas.
- Verify staff timesheets and track attendance data.
- Coordinate office premises changes by liaising with business units and vendors.
- Process updates to departmental procedures.
What you'll need#
- Enrollment in a Business Administration academic program with a requirement to return to studies.
- High school diploma or equivalent work experience.
- Basic verbal and written communication, organization, and collaboration skills.
- Working knowledge of general office procedures and equipment.
- General knowledge of audio-visual equipment.
- A Certificate in Office Administration is considered an asset.
