About the role#
As a Private Wealth Administrative Assistant, you will provide general office support and clerical services to business groups. This internship is a full-time, paid position based in Oakville, Ontario, for the Winter 2027 term. You will work on-site, collaborating with internal and external stakeholders to help meet business objectives while following established policies and controls.
What you'll do#
- Manage office records by compiling, copying, sorting, and filing documentation.
- Maintain and update databases and administer the team filing system.
- Prepare funding approval requests and process department budget and capital expenditure invoices.
- Resolve or escalate invoice discrepancies and coordinate work orders for equipment maintenance.
- Handle office supply inventory and place orders as needed.
- Schedule meetings, coordinate catering, room setups, and audio-visual equipment.
- Book travel arrangements and prepare itineraries for management.
- Answer central phone lines and address inquiries.
- Assist with communications materials, including presentations, reports, and correspondence.
- Verify staff timesheets and track attendance data.
- Coordinate office premises changes, such as relocations, with internal units and external vendors.
- Troubleshoot routine problems and maintain audit trails.
What you'll need#
- High school diploma or equivalent work experience.
- A certificate in Office Administration is considered an asset.
- Working knowledge of general office procedures and equipment, such as printers and photocopiers.
- General knowledge of audio-visual equipment for meetings and troubleshooting.
- Basic verbal and written communication skills suitable for a business environment.
- Basic organizational and collaboration skills.
- Currently enrolled in a Business Administration academic program and returning to studies.
